Position Purpose

Responsible for monitoring contract processes, coordinating contracting activities with contractors and other PH departments as well as providers. Provides assistance and acts as a resource to providers and departmental staff in the areas of contracts, contract amendments, and Letters of Agreement (LOA). Assists in the resolution of issues and problems, and ensures completion of assignments in a timely, accurate manner.


Scope of Position

Assists with the maintenance/tracking of records on all physician, specialist, hospital and hospital based agreements in an effort to facilitate efficiency in both the internal and external processing requirements. Assists with monitoring processes that track the progression and finalization of each agreement within various Peoples Health departments. Creates, maintains and communicates the status of agreements along with the contractor's course of action. Assists with related issues to obtain maximum effectiveness within the department.


Principal Responsibilities

  • Coordinates efforts between the Contracting, Network Development Administration, Provider Affiliations, and Credentialing departments to ensure the timely progression of agreements between Peoples Health and providers
  • Serves as liaison between Network Development Contracting and other departments by contributing information gathered through attending meetings of various internal departments of PH
  • Maintains working files and documentation logs for providers that are in the process of being contracted as well as covering physician agreements; routinely completes scanning of the associated required documentation
  • Composes letters to providers communicating information relevant to their inclusion and/or pending inclusion within the plan network
  • Researches and verifies information relative to the pre-contracting phase in an effort to facilitate the accurate processing of provider's Letters of Interest and Letters of Request
  • Develops and maintains area specific records related to the contractors performance
  • Monitors the processing and review of contracts and maintains records on all required aspects of the contracting process as well as the status of their completion in accordance with specifications and with contract requirements

  • Monitors the time elapsed during the processing of contracts within the internal contracting flow, assesses the impact of extended processing time on internal departments and providers, then recommends corrective action

  • Verifies the accuracy of information contained within contracts prior to them being forwarded outside of the contracting environment

  • Gathers performance data, prepares reports and summarizes information related to the contracting activities

  • Processes requests for information from internal departments and distributes to contracting specialists as appropriate

  • Assists in coordinating recurring activities and ensuring their timely completion within the department such as quarterly accessibility analysis; Health Services Delivery (HSD) table maintenance/review, monthly review of published provider materials

  • Assists, when requested, in administrative activities related to the monthly Contracts Committee meetings

  • Prepares, distributes, and follows up on the completion of reporting reviews to be conducted monthly by Contracting Specialists, including the monitoring of aged Service Forms

  • Creates and maintains training materials for the Contracting department and ensures availability of all supplies necessary to the contracting process

  • Maintains weekly reports disseminating the current status for contracting activities and action items; reports details and pending action to Contracting Directors/Managers, then summarizes for submission to the Senior Vice President of Network Development

  • Acts as back up to the Ancillary Contracting Coordinator, as needed

  • Maintains a current status on all ComplianceWire/Eduneering course assignments

  • Assists with requested duties for Network Development Managers, Senior Vice President of Network Development and/or Chief Executive Officer


Experience / Education

  • High School Diploma or General Equivalency Diploma, required
  • Some college experience, preferred
  • Skill in operating various desktop applications (MS Word, Outlook, Excel, Power Point, Visio, Email packages), required
